How TAPROGGE digitised personnel files and delivery note processing with Next

Strong products, but the admin couldn’t keep up
TAPROGGE’s strength is building complete solutions with high-quality technology products. That same ambition drove the company to improve its internal processes.
Administrative tasks took too much time. The payroll accounting department needed simpler workflows, and reliable personnel controlling required better resources. The growing volume of incoming documents — delivery notes and similar — also needed structured management.
In 2006, TAPROGGE brought in Nextway.
Digital personnel files and barcode-based document capture
TAPROGGE introduced digital personnel files with Next. A logical folder structure organises data and documents in a clear, structured way. Paper documents — contracts, references, certificates, and applications — are scanned and transferred into the archive.
All incoming delivery notes and orders receive a barcode at TAPROGGE. Each barcode contains document data and a unique document number. The information is automatically retrieved from the ERP system Oxaion, where Next is fully integrated. The documents are then scanned, checked by Oxaion, and saved as PDF in Next.
Fast retrieval across Next and Oxaion, with controlled access
Documents can be found quickly — through the Next filing path, the integrated Nextway search engine, or directly in Oxaion. Retrieval is fast and straightforward.
Access to sensitive personnel data is controlled through the role-based authorisation system in Next.
